Vcil Community (“Vcil”, “we”, “us”) operates the website vcil.community (the “Website”) and a set of digital services for members (the “Member Platform”). This Privacy Policy explains how we collect, use, store, share and protect your personal information when you visit the Website, create an account or use any service on the Member Platform.

By accessing the Website or using the Member Platform, you confirm that you have read and understood this Privacy Policy. Your use of the Services is also governed by our Terms of Service. If you do not agree with our practices, please stop using the Services.

This Privacy Policy applies to:

• The public Website — vcil.community, including all publicly accessible pages and content.
• The Member Platform — all member-only applications and services accessible after authentication, including current services and any we may add in the future. As of the effective date, the Member Platform includes community marketplace features, a shared resource library and a community points wallet, and we may add further services over time.

• Account information — when you register as a member we collect your name, email address, display name and any other profile information you choose to provide.
• Membership data — preferences, custom profile fields and role assignments (such as administrator roles) linked to your account.
• User-generated content — listings, messages, descriptions, contact methods, location information and any other content you voluntarily submit through the Member Platform.
• Activity and interaction data — records of your actions on the platform, including items you favourite, interest expressed in other members’ listings, borrowing and return records for shared resources, and waitlist registrations.
• Transaction data — when you use points-based or exchange features on the Member Platform, we process transaction amounts, recipient information, descriptions and timestamps.
• Communications — messages you send to other members through platform features, and any correspondence you send directly to us.

3.2 Information collected automatically

• Usage data — pages visited, features used, activity timestamps and interaction patterns on the Website and Member Platform.
• Device and browser information — browser type, operating system, device type, screen resolution and language preference.
• Session data — authentication tokens, session identifiers and temporary data stored locally in your browser to improve performance.
• Language preference — detected automatically from the URL path you visit (for example Vietnamese or English).

5.1 With other members

Some information you provide is shown to other authenticated members by design. This includes your display name, the listings you publish, your participation in community features and any content you choose to share. Contact methods you provide on listings are shared with members who express interest.

5.2 With service providers

We share information with third-party service providers that help us operate the platform, including authentication services, content management systems, content delivery networks and transaction processors. These providers access your data only to perform services on our behalf and are obliged to protect it.

6. Data storage and security

We apply reasonable technical and organisational measures to protect your data, including encrypted connections (HTTPS/TLS), input sanitisation to prevent cross-site scripting, scoped access controls ensuring members can only edit their own profiles, and session-based authentication.

However, no method of electronic transmission or storage is completely secure. We cannot guarantee the absolute security of your information.

We retain your personal information for as long as your membership is active or as needed to provide the Services. If you request deletion of your account, we will delete or anonymise your personal data within a reasonable period.

User-generated content such as listings or library borrowing records may be retained in anonymised form for community record-keeping after account deletion.
